Email Pilot Privacy Policy

Email Pilot is an SMTP-first workspace for permission-based outreach. This Privacy Policy explains what data the service processes and how users can control or request deletion of that data.

Data we collect

SMTP and inbound forwarding

Email Pilot sends approved messages through SMTP profiles configured by authorized operators. SMTP passwords are supplied through the platform secret store and are not displayed in the application or written to campaign records.

Replies and delivery-status notifications may be forwarded by a controlled mail server to a signed internal endpoint. The endpoint accepts normalized metadata for correlation and does not accept raw mailbox synchronization or personal inbox access.

How we use data

Sharing and retention

Email Pilot does not sell campaign or account data. Data is shared only with service providers required to host, secure, and operate the app, or when required by law. SMTP credentials are handled through a write-only secret store. Data is retained only as long as needed to provide the service, meet security obligations, and satisfy legal or operational requirements.

User control

Users can contact Email Pilot to request data deletion or access changes. Promotional emails include a visible unsubscribe link, and opt-outs are applied to the global suppression list.
